Planning DANDRITE Lectures

DANDRITE Lectures feature specially invited senior researchers from around the world, selected for their relevance to DANDRITE’s research interests and potential for collaboration and knowledge exchange. Each lecture theme must be broadly relevant to multiple DANDRITE groups.

Frequency and Planning

DANDRITE hosts four lectures annually—two in the spring semester and two in the fall. Planning is carried out one year in advance, and Maria Thykær Jensen will reach out to the DANDRITE community for speaker suggestions when the submission period opens

All DANDRITE’s (groups and affiliated groups) are encouraged to suggest speakers for DANDRITE lectures. The lectures should reflect the diversity of DANDRITE, so please don’t hesitate to make your suggestions.

Your suggestions should include max. 1 page A4 with the following information:

  • 2-3 sentences about the potential speaker’s research
  • Their 5 recent key publications (from approx. last 3 years)
  • 2-3 sentences on why the speaker should be invited, thereby stating the relevancy of the speaker for at least 2 groups at DANDRITE
  • The person suggesting the speaker will also act as the contact person for the speaker, and will be in charge of inviting and hosting the lecture (see host guidelines below).
  • If appropriate, the lecture should be organized jointly with other seminar series, such as The Kjeldgaard Lecture Seminar Series, iNANO, AIAS, iPsych etc.

Nominations are evaluated at the Steering Committee's Business Meeting based on:

  • Relevance of topic.
  • Strategic potential (e.g., future SAB member, collaboration, synergy, international mentorship).
  • Opportunities for follow-up after the visit.

Format and Programme

  • DANDRITE Lecture (45 min talk and 15 min Q&A) followed by coffee, tea and cake for everyone
  • Speaker lunch with students and postdocs: it is highly encouraged to arrange for junior researchers to meet the speaker at lunch
  • Representation dinner for the speaker with the host and 1-2 other researchers (within the budget)
  • 1:1 meetings between the speaker and local researchers should be considered as part of the programme

Lecture expenses

The DANDRITE lecture expenses are covered by the DANDRITE core project, within the following budget.

Travel and hotel for the invited speaker:

All tickets must be on economic fare according to AU's travel guidelines, and the speaker must be informed about this after accepting the speaker invitation.

Max budget for flights travels: 10,000 DKK (overseas), and 5000 DKK (within Europe).

Local transport is covered: should be preferably with public transport, but if needed taxi can be covered if reasonable

Hotel accommodation: must be according to AU's hotel agreement: max 3 nights (overseas) / 2 nights (within Europe).

Lunch & dinner (Representation expenses):

Lunch budget: max 450 DKK

Dinner budget: max 2400 DKK (max 800 DKK in total per person though)

Host responsibilities

The host is responsible for:

  • Officially inviting the speaker (copy seminar administrator).
  • Collecting lecture details using the template in the right column and forwarding to seminar administrator at least 30 days before the lecture.
  • Inviting relevant researchers to meet the speaker 1:1, and join dinner if appropriate.
  • Targeted invitations: send the lecture announcement to relevant people and/or units
  • Creating the visiting programme (seminar administrator is available to support)
  • Acting as chair and introducing the speaker at the lecture
  • Booking dinner (seminar administrator will assist with reimbursement via RejsUd)

Seminar Administrator Responsibilities

  • Ensure date does not conflict with other key events.
  • Prepare and distribute announcements (poster, Outlook, website, newsletters, social media).
  • Coordinate travel and hotel bookings directly with the speaker.
  • Book lecture room.
  • Assist with reimbursement process.
  • Assist with programme making.
