Practical information

1. Venue

2. Transport
A joint bus will be arranged for all participants, departing from and returning to Aarhus University.

  • 20 May | Bus departs from AU at 08:00
  • 21 May | Bus departs from the venue at 11:45 and returns to AU around 13:00

3. Accommodation

  • All participants will be accommodated at the venue.
  • We kindly ask students and junior researchers to share rooms.
  • Please indicate the name of your roommate in the registration form.

4. What to Bring

  • A poster and give a flash talk
  • Curiosity and an open mind

5. Participation by Interns and Bachelor Students

Due to limited central funding, interns and bachelor students may attend the SAB & Retreat 2026 only if their participation is funded by their research group. If in doubt, please contact asmu@dandrite.au.dk 

6. No-show fee

In case of a no‑show or a cancellation without a valid reason, a fee of 500 DKK will be charged to the participant’s PI to partly cover the associated costs.

Before you register

Please take a moment to prepare the information you will need for the registration form: 

  1. Check with your PI whether you are eligible to attend
  2. Students and junior researchers are kindly asked to share rooms; please coordinate with your preferred roommate in advance.
  3. Decide whether you will bring a poster and, if possible, have the title ready (NB! Everyone who brings a poster are kindly asked to give a flash talk)
  4. Decide if you will join the team building by YoDA or the walk & talk in the afternoon on 20 May.
  5. Consider your travel plans and whether you will use the joint bus, so we can plan transport accurately.
  6. Note any dietary restrictions or special accommodation needs.
  7. Please ensure you can commit to the dates before registering

Why we meet

The DANDRITE SAB & Retreat brings together our Scientific Advisory Board (SAB), researchers, staff and students for days dedicated to scientific exchange, feedback and community building. The event combines the formal SAB evaluation of DANDRITE’s research with a retreat programme designed to strengthen collaboration, and well‑being across the centre.

Participants will take part in scientific presentations, discussions, networking activities and shared sessions that highlight who we are as a research environment and where we are heading. The retreat aims to support strong neuroscience activities at DANDRITE by fostering interaction, new ideas and a vibrant, inclusive community.

Following the event, the SAB will provide feedback through a report to the DANDRITE Steering Committee. DANDRITE Director Poul Henning Jensen will share the feedback to the entire community at the next DCM following the SAB & Retreat.

What is the 'SAB meeting with Early-Career Researchers'?

This meeting is for all who fall into the category of a Early‑Career Researcher (ECR), such as PhD students, Research Assistants, Master’s students, Bachelor’s students, and interns. If in doubt, contact asmu@dandrite.au.dk 

Format

  • The PhD representative leads the conversation with the SAB, based on input gathered from the group prior to the meeting.
  • All participants are welcome to join in, add perspectives, or raise points.
  • It is an informal, open dialogue rather than a formal presentation.
  • Focus on giving an authentic, collective ECR voice.

Purpose

  • To give SAB members insight into the experiences, challenges, and everyday reality of ECRs at DANDRITE.
  • To surface needs, concerns, or structural issues that affect early‑stage researchers.
  • To create a space for honest feedback and reflection.

Preparation

  • In preparation of the SAB & Retreat, the PhD representative will collect input from the group of ECRs. More info will come closer to the event.

What is the 'SAB meeting with Mid-Career Researchers'?

This meeting is for all who fall into the category of Mid‑Career Researcher, such as Postdocs, Assistant Professors, and Senior Researchers who are not Principal Investigators.

Format

  • The Postdoc representative leads the conversation with the SAB, based on input gathered from the group prior to the meeting.
  • Other participants can contribute freely to provide additional context or examples.
  • Structured as an open exchange rather than a reporting session.
  • Focus on the shared perspective of researchers transitioning toward independence.

Purpose

  • To provide SAB with insight into the opportunities, hurdles, and strategic needs of mid‑career researchers at DANDRITE.
  • To discuss career development, research conditions, and group-level challenges.
  • To support stronger alignment between mid‑career researchers and DANDRITE’s strategic direction.

Preparation

In preparation of the SAB & Retreat, the Postdoc representative will collect input from the group of Mid-Career Researchers. More info will come closer to the event.
